Brand Reviews of Sponsored Videos: From Draft to Approval

Agree on what the brand reviews, who consolidates feedback and how the final version is approved. Includes a draft delivery template and a feedback table.

Sending a draft to a brand should start a review with a clear purpose. To make that happen, agree on what can be reviewed, who responds and how you will confirm that a version is ready to publish.

This guide offers a method for managing brand reviews of sponsored videos. The templates are working resources you can adapt to each collaboration; deadlines and review rounds should be agreed for that specific piece.

Agree on the review before filming

If you are still defining the collaboration, start with the questions in the guide on how to reply to a brand deal email. Then put these points in writing:

Item What to specify
Material to deliver Script, sponsored segment or full edit; identify any unfinished parts
Review scope Product facts, mentions and brief requirements to be checked
Point of contact Person who consolidates the brand’s feedback and confirms its final response
Response deadline Agreed date, time and time zone for receiving feedback
Rounds Agreed number and what constitutes one round of feedback
Approval Who confirms the specific version and through which channel
Additional changes How requests that add work or change the brief will be discussed

A practical way to define a round is one consolidated list of comments on an identified version. Confirm this definition with the brand: it helps prevent each separate message from becoming a different review.

Also clarify the independence of your review. Correcting a feature name or a verified specification helps maintain accuracy. A request to change your assessment needs a separate conversation: keep conclusions you can support with your testing and avoid claiming results you have not observed.

Deliver a draft that is easy to review

Identify each delivery with a piece name and version, for example, “M1 Review · v01.” Explain whether subtitles, audio adjustments or graphics are still missing so the brand knows what it is watching.

If you use YouTube to share it, choose the visibility setting according to the access you need. Anyone with an unlisted video’s link can watch and share it. Private videos are shared with people you choose and do not support comments. Check YouTube’s official privacy documentation before sending the link.

You can collect feedback in the table below and receive it through the agreed channel, even when comments are unavailable on the video.

Draft delivery template

Subject: Review of [piece] · [version]

Hi [name],

Here is [link] for [piece and version]. It includes [completed material], with [remaining elements, if any] still to finish.

In this round, we are reviewing [agreed scope], using [brief and brief version] as the reference.

Please consolidate the team’s feedback into a single table with a timestamp, requested change and reason. [Point of contact’s name] will coordinate the response.

The agreed feedback deadline is [date, time and time zone]. Publication is planned for [date], subject to completing the outstanding changes and approval.

If a request falls outside the agreed scope, we will discuss it before incorporating it to confirm the work involved and its effect on delivery.

When you receive the final version, I will ask for explicit confirmation of that version. If you need more time to respond, please let me know so we can agree on new dates.

Thanks, [name]

Turn feedback into decisions

Ask for comments that make the issue easy to locate and act on: “At 01:24, the mode is called X; specification sheet attached” is more useful than “review the product section.”

The following table is a fictional example. The brand Alba, the M1 microphone and its specifications were invented to illustrate the process.

ID Version and timestamp Request Type Decision and next action Status
C01 v01 · 01:24 Change “two modes” to “three modes” Possible factual correction Check the model’s specification sheet and the unit tested; correct if appropriate To be checked
C02 v01 · 02:10 Add a comparison with another microphone Possible scope change Confirm whether it was in the brief; discuss additional testing and footage before accepting Awaiting agreement
C03 v01 · 03:05 Replace “I hear noise in my test” with “flawless sound” Change to the assessment Explain the test performed and maintain a conclusion supported by it Awaiting response

You can copy the table and clear its rows. Keep a decision column: receiving a comment does not mean you have accepted the change.

Factual correction versus scope change

In this example, C01 identifies a verifiable fact. Check that the documentation applies to the model you show and that the statement refers to the same context. If there is an error, correct it and record where it was resolved.

C02 requests a new test. If that comparison was not part of the brief, explain what material and work it requires. Propose adding it with revised terms and a revised delivery date, or keeping the agreed piece. Confirm the decision before filming or editing the addition.

The classification depends on the request and the brief. A small change on screen may require filming again; a specification may be corrected with an on-screen caption if that clearly resolves the error. Describe the actual work before committing to it.

Resolve conflicting feedback and close each round

If two people at the brand request incompatible changes, send both comments to the agreed point of contact and ask for a consolidated decision. Avoid deciding for yourself which one represents the team’s response.

Before preparing the next version:

  1. Check each factual correction against the relevant evidence.
  2. Respond to ambiguous requests and those that change the scope.
  3. Confirm which changes will be incorporated and which remain pending.
  4. Send a newly identified version with a summary of changes by ID.
  5. Ask that the next review refer to that version.

Keep the history of comments and decisions in the review document. This lets you distinguish a resolved comment from a new request without relying on your memory of the conversation.

What to do when feedback is late

Once the agreed deadline has passed, record which response is missing and contact the point of contact. Explain how the delay affects the remaining work and propose new feedback and delivery dates.

You can adapt this message:

“Feedback on [version], due on [date], is still outstanding. To make the changes and complete the review, I suggest receiving your comments by [new date] and then confirming publication for [proposed date]. Could you confirm these dates or suggest an alternative?”

Keep the new dates as proposals until you receive confirmation. If brand approval is an agreed step, keep the piece pending while that response is missing. Silence is not confirmation of approval.

If you need new footage of a loaned product, check its availability before proposing delivery. The guide to loaned products for YouTube reviews helps you organize the equipment and its return.

Confirm which version is approved

Ask for a response that identifies the piece and version. “All good” is ambiguous when the conversation contains several links.

Use this template to request an operational confirmation:

“Can you confirm that [piece · version · link] is approved by your team within the agreed review scope? Please indicate whether any comments remain outstanding. Publication is planned for [confirmed date].”

Save the response alongside that version. If you later change an element that was part of the review, ask whether it needs fresh confirmation before publishing.

Brand approval and the creator’s final check are separate steps. Also check that the final file, mentions and links match the piece you are going to publish.

Keep the video organized in VidCRM

VidCRM lets you associate products with a video, save its title and planned date, and update its production status: Pending, Recorded, Edited or Published.

Use that record to identify the piece and keep its publication date current when a change is confirmed. Keep the feedback table, version links and approval in your review document.

A video can be edited and still be waiting for a response. Use the production status to reflect editing progress and consult the review document to check whether you have received the necessary approval.

Your next step

Choose the next draft you need to send. Complete the seven agreement points, prepare the delivery template and create an empty feedback table. Confirm the scope, rounds and response deadline with the point of contact before sharing it. Then record the piece and its planned date in VidCRM.
