YouTube Sponsorship Report: A Template for Brands
Prepare a post-publication report with dates, metrics and supporting evidence. Includes a reusable template, a fictional example and an email for sharing results with the brand.
A YouTube sponsorship report should help the brand check what was published, what the available data shows and what is still outstanding. To prepare it, bring the deliverables and analytics together in a document that identifies the video, the reporting period and when the data was captured.
This guide includes a reusable template for delivering that report. It separates results for the full video from observations about the sponsored segment and makes the limits of the measurement clear.
1. Agree on the report the brand needs
Before collecting figures, confirm the following with your contact:
- Which pieces of content to include: long-form videos, Shorts or other agreed deliverables.
- Which metrics they need and how they will use them.
- Which period to measure and when to send the report.
- Whether there will be a later update and on what date.
- Who will provide link or code data, if that tracking exists.
Agree on the delivery deadline for each collaboration. You can propose an initial data capture and a later one, but label both as proposals until they are confirmed.
Use one row per piece of content, as in the YouTube brand deal calendar. This helps you avoid mixing statistics from posts that have been live for different lengths of time.
2. Check the published deliverables
Open each public URL and check the agreed elements: the content itself, the mention, the integration timestamps and the link in the description, where applicable. Record any issues and the action needed to resolve them.
Draft approval and report delivery happen at different stages. If you need to check which version the brand approved, refer to your review document. The guide to brand reviews of sponsored videos explains how to keep that confirmation.
Keep publication evidence with the report. A screenshot documents what you checked at that moment; date it so it cannot be confused with a later check.
3. Collect metrics with a consistent period and scope
In YouTube Studio, open analytics for the specific video. In Advanced mode, you can select content, change dates, choose metrics and export the current view. Check the filters before downloading the file. The steps are covered in the official Advanced mode documentation.
Record the period covered by the data separately from the time you captured it. “October 1–7” identifies the period being analyzed; “captured on October 9 at 10:00 UTC” identifies when you checked it.
What to include and how to explain it
| Data | Source | Scope and limitation to state |
|---|---|---|
| Views | Video analytics in YouTube Studio | Apply to the selected piece of content; they do not equal unique people or sales |
| Watch time | Video analytics | Describes viewing of the full video, unless the report specifies a different scope |
| Thumbnail impressions and CTR | Video Reach analytics | Refer to thumbnails and the views they generate; they are not impressions of the brand or clicks on its link |
| Audience retention | The video's audience retention report | Helps you observe specific moments; retain the context and avoid treating it as a buyer count |
| Clicks or conversions from external tracking | The tracking system's report or data supplied by the brand | Include only available data and document the period, definition and attribution criteria |
YouTube explains that impressions are counted on certain surfaces and exclude external websites and notifications, among other cases. They therefore do not represent every occasion on which someone could have found the video. See its definitions of impressions, CTR and watch time.
If you do not have click or sales tracking, write “not available.” Having a field for a metric does not mean you need to fill it with an estimate.
4. Separate the full video from the integration
Identify the timestamps of the sponsored mention, for example, 02:10–03:00. Views of the full video do not demonstrate that every playback included that segment.
The retention chart can help you describe what happened during that part. YouTube says retention data typically takes one to two days to process and that repeated viewing of a segment can increase its view count. Keep the screenshot and the report's context: do not turn an isolated percentage into a count of unique people exposed to the sponsorship. See the official audience retention guide.
Describe the observation first and the interpretation second. “There is a drop during this interval” identifies something to review; attributing it to the sponsorship requires additional evidence. Do not present thumbnail CTR as a response to the brand's call to action either.
When you have external data, identify who provided it. If the brand reports orders attributed to a code, preserve its definition and reporting period. Those orders alone do not prove that the video caused the entire sale.
5. Copy this report template
Complete the template in an external document and keep the screenshots and exports there. Include aggregated data and avoid adding personal information about viewers or buyers.
Identification and deliverables
| Field | Information to complete |
|---|---|
| Collaboration | Brand, product and brief reference |
| Content and format | Identifiable title; long-form video or Short |
| Public URL | Link to the published content |
| Publication | Date, time and time zone |
| Integration | Timestamps of the mention, if applicable |
| Commitments delivered | Agreed elements and evidence for each one |
| Issues | What is missing, who is responsible and the next action |
| Reporting period | Start and end dates exactly as shown in the source |
| Data capture | Date, time and time zone when the data was checked |
Results and limitations
| Metric or observation | Value | Scope | Source and evidence | Limitation |
|---|---|---|---|---|
| [Exact name] | [Value or not available] | [Full video, specific moment or another scope] | [Report, file or screenshot] | [What it does not establish] |
Add the following at the end:
- Summary: what was delivered and what the available data shows.
- Outstanding: requested information that is not yet available.
- Next action: a specific task, its owner and the agreed or proposed date.
- Update: whether another version will be sent and which period it will cover.
Keep previous versions so you can explain what changed between data captures.
6. A fictional completed report
The brand Alba, the product and all the figures below are fictional. They illustrate how to complete the document; they are not performance benchmarks.
| Field | Fictional example |
|---|---|
| Collaboration | Alba · M1 microphone · brief v02 |
| Content | “Testing the M1 at a desk” · long-form video |
| Public URL | The link to the content would go here in the actual report |
| Publication | October 1, 2026, 16:00 UTC |
| Integration | 02:10–03:00 |
| Deliverables checked | Mention and description link; screenshot dated October 9 |
| Selected period | October 1–7, 2026 |
| Analytics capture | October 9, 2026, 10:00 UTC |
| Metric or observation | Fictional value | Intended source | Limitation |
|---|---|---|---|
| Video views | 12,000 | Video analytics export | Does not identify how many people watched the integration |
| Watch time | 800 hours | Same export and period | Applies to the full video |
| Thumbnail impressions | 100,000 | Video Reach analytics | These are not brand impressions |
| Thumbnail CTR | 5% | Video Reach analytics | Does not measure clicks on Alba's link |
| Retention during the integration | Not included in this delivery | Still to be collected with its context | Not estimated from video views |
| Clicks and sales | Not available | No external report received | No commercial results are attributed |
A consistent summary would be: “The agreed mention and link were checked. During the selected period, the video recorded 12,000 views and 800 hours of watch time. These figures apply to the full video. We do not have click or sales tracking data.”
The proposed next action could be to ask Alba for its aggregated link report and confirm whether it needs another data capture. Keep that update as a proposal until it is agreed.
7. Email for delivering the report
Subject: Results for [content] · reporting period [start–end]
Hi [name],
I'm sending the report for [content], published on [date], with its public link and a check of the agreed deliverables.
The data covers [period] and was captured on [date, time and time zone]. The document includes the sources and separates full-video metrics from observations about the integration.
[Data or issue, if applicable] is still outstanding. To complete it, we need [specific information and who can provide it].
I suggest [action and date] as the next step. Could you confirm whether that works for you or whether you need another available breakdown?
Report: [link to the document with access checked].
Thanks, [name]
Before sending it, open the document using the access permissions intended for the recipient and check that the evidence matches the stated content and reporting period.
Organize the video in VidCRM and prepare the next data capture
VidCRM lets you associate products with a video, save its title and planned date, and update its production status: Pending, Recorded, Edited or Published. Use that record to identify the video and reflect that it has been published. Keep the report and its supporting evidence in your external document.
Choose a published collaboration now. Copy the template, confirm the reporting period and delivery date with the brand, and compile a first version using the metrics you actually have. Give every outstanding item a specific next action.
